
Swim Dive Booster Committee and Volunteer Opportunities

We are in desperate need for your parents to shadow this year since many of these volunteers are senior parents
Concession
: Create an online donation form for donated concession items and
volunteers. Orders pizza 2-3 days prior to each HOME meet and the
Holiday Invitational. Arrives by 3:00 to begin setting up concession
stand. Cleans up concession area after each meet. Counts money WITH a 2 nd
person to verify and turns money in to Treasurer after every meet.
Submits all receipts for purchased items, including pizza, to Treasurer
at the end of each meet. This is a SEASON LONG commitment but there are
typically only 4-5 home meets including the Invitational.
Membership
: Collects and keeps record of membership forms (which are distributed
in the student sign-up packet) and dues. Most membership dues are turned
in by mid-December but a few will come in after the initial due date.
Submit membership money to Treasurer immediately on due date. Submit all
monies received after due date upon receipt. Forward membership list to
President and update with new members as they join after the initial
due date.
Program : Solicit Local Businesses
and families for ads and shout outs. Market Street Sports will help with
ads. Send out list of ad options/patrons for parents to help solicit.
Collect Senior Bios (which are distributed in the student sign-up
packet). Senior Bios can take time to come in so don’t be afraid to
track down those seniors! Keep patron and payment records for all ads
and shout outs. Request pictures from seniors and team photos from
photographer. Submit all monies to Treasurer immediately after final due
date. Market Street will issue a check for the ads they acquired.
Web Site
: Post announcements and schedules to web site per Coach/President
request. District access/clearance is required but easy to obtain.
Breakfast
: Create online sign-up for parent volunteers to make breakfast during
morning practices. Stocks kitchen with basics and supplements (Basics
are white and chocolate milk, juice, cereal. Supplemental items can
include Pop-Tarts, yogurt, fruit, etc.). Parent volunteers will provide
the “main breakfast” item(s). Routinely check status of paper products
and utensils, purchase as needed. Check in with parent cooks to
determine if milk(s), cereal, or juice is needed for the next morning.
Purchase items and deliver in the morning. Submit ALL receipts to Treasurer as items are purchased. Basic items are purchased by the Booster Club. The Treasurer will reimburse you ASAP. This is a SEASON LONG commitment and will extend to post season.
Spirit Wear
: Select Spirit Wear items for sale. Create order form (paper or online
if possible). Collect order forms and money due. Keep records of orders
and payments received. Submit invoices and monies received to Treasurer
upon due date. Arrange for pick-up/distribution of orders.
Giant Gift Cards
: Request check from Treasurer to purchase Giant Gift cards from Giant
Customer Service. Use their cash back program. Sell gift cards parents,
friends, coaches, concession, PTO’s…anyone who shops at Giant.
Holiday Invitational
: this is a big commitment and requires several volunteers. Duties to
be broken down amongst volunteers include creating online volunteer sign
up, T-shirt orders for all participating teams, timers, lasagna lunch
for swimmers, and various other volunteers throughout the day. Planning
begins as soon as the season begins. MANY volunteers required.
Senior Night
: Forms committee of parents to arrange for gift bags for seniors on
Senior Night. Submits bios to announcer. Arranges for photos. Contacts
students and parents requesting posters to be created for display that
evening. This job can be run by parents of seniors but underclassmen
parents are required for Senior Night so that senior parents and relax
and enjoy the event. Senior Night is typically later in the season.
Banquet Awards
: Creates a committee to organize the banquet. This committee will
select date and book a venue and decide on the meal. Distribute RSVP
forms and record responses and payment. This committee will also decide
on decorations for the event and set up the decorations at the venue.
Drafts a banquet program and makes any arrangements needed for video and
sound requirements. Trophy orders will need to be placed ASAP following
the State Championships in March so they can be delivered prior to the
banquet. Banquet is held in March or April.
Video
: Creates a music and photo DVD to be presented to seniors and shown at
the banquet. Creates an online file sharing site. Parents are
encouraged to take many pictures during the season and upload photos to
the file sharing site. Parents will convert “hard” photos to a digital
copy for uploading. Photos should be submitted throughout the season to
avoid a photo shortage or rush to complete.
Audit
: 2-3 people required to review and sign the year-end audit that is
required by and submitted to the District. The Treasurer will create the
audit for review and submit to the District after the Audit Committee
reviews.
